PERSONAL DATA

Personal data is any information about a person that allows them to be identified from that data (for example a name, photograph, email address etc.). The processing of personal data is governed by legislation including the General Data Protection Regulations (“GDPR”). This Privacy Notice is provided to you by Evolution Women’s Motorcycle Club which is the data controller of the personal information that you provide to us. It sets out why and for how long we will use your personal data and who it is shared with. It also provides contact details should you wish to exercise your legal rights in respect of that data.

INFORMATION COLLECTED

Members

When you apply to become a member, renew your membership or at other times we may ask you for some or all of the following personal information:

  • Contact details – name, address, email address and phone number.
  • Date of birth.
  • Riding Experience – type of motorcycle owned, number of years riding experience, further training, type of events you are interested in etc.
  • Safety and emergency details – next of kin, spouse, medical conditions.

 

If you do not provide us with all of the personal information that we need, this may

affect our ability to offer you our membership services and benefits.

Why we need your personal information We need to collect your personal information so that we can manage your relationship with us. We may use your personal information to:

  • Provide you with core member services, including confirmation of
    membership, membership card, end of year renewal notice and information about events in the club.
  • Provide you with access to our social media accounts.

 

We also process members’ personal information in pursuit of our legitimate interests to:

  • Provide you with news and updates about the members’ events and meetings.
  • To contact you by post, email, telephone, or using social media.
  • To maintain our own accounts and records.
  • To plan and arrange future club activities.
  • To allow distribution of newsletters.
  • Raise awareness of the club’s activities by capturing photos, videos and live streaming at events. We will use this for promotion, education and development purposes.
  • Respond to and investigate your questions, comments, complaints, concerns or allegations.
  • To liaise as required with the BMF.

Shop

If you buy items from our shop we will use your name, address and possibly telephone number to deal with your order.

Newsletter

Newsletter If you sign up to our newsletter we will use your name and email address to send you newsletters.

OTHER USES OF YOUR PERSONAL INFORMATION

We may ask if we can process your personal information for other purposes. Where we do so, we will provide you with an additional privacy notice explaining how we will use your information for these purposes.

WHO WE SHARE YOUR PERSONAL INFORMATION WITH

We may be required to share personal information with statutory or regulatory authorities to comply with statutory obligations, such as the Health and Safety Executive or the police. We may also share personal information with professional and legal advisors for the purpose of obtaining advice and the BMF for the purposes of our registration and insurance.

THIRD PARTY SUPPLIERS WITH ACCESS TO MEMBER’S DATA

At present we do not use any third party suppliers to provide services requiring access to member’s data. If this changes in the future members will be informed and this privacy notice amended.

HOW WE PROTECT YOUR PERSONAL INFORMATION

Your personal information is accessed by the Committee only for the purposes set out above. It is stored by us in an electronic format. Access is password protected and there are firewalls in place to protect against external breaches.

HOW LONG WE KEEP YOUR PERSONAL INFORMATION

We only keep your personal information for as long as necessary to provide you with services. Unless you ask us not to, we will review and delete your personal information where you have not renewed your membership or had contact with us for 2 years.

You have a right to:

  • Change your communication preferences or restrict the processing of your personal data for specific purposes.
  • Request that we correct your personal data if you believe it is inaccurate or incomplete.
  • Request that we delete your personal information.
  • Access the personal information that we hold about you through a ‘subject access request’.
